Job Description
WorldStrides is a leading educational travel organization, taking students on learning journeys around the world. As Technology & Vendor Operations Specialist, you'll join our Event Experiences team in Mérida and own the technology and vendor operations behind our WorldStrides and Envision K-12 event programs. You'll make sure every program has the right equipment, from the right vendor, at the right price, delivered on time and returned in full. That means building the annual technology deployment schedule, sourcing and comparing vendors, coordinating logistics with IT, venues and our warehouse, and tracking every dollar against budget. This is a hands-on operations role, working in English with U.S.-based teams and vendors, for someone who likes building order and being the first to see a problem coming.
Responsibilities
- Build and maintain the annual technology deployment schedule across assigned event programs.
- Coordinate technology rentals end to end with external vendors: quantities, timelines, delivery locations, and return logistics.
- Partner with IT on device readiness, technical requirements, imaging timelines, and support needs.
- Coordinate equipment movement and on-site delivery with internal logistics teams, event venues, and Halo Warehouse.
- Track technology inventory, rental allocations, deployment status, and outstanding equipment returns; flag shortages, delays, and risks early, with a proposed solution.
- Serve as the primary operational contact for assigned technology and event-support vendors, holding them accountable to service and delivery expectations.
- Request and compare vendor quotes, and build and distribute Requests for Proposals (RFPs), evaluating responses on cost, service capability, program requirements, and risk.
- Maintain accurate vendor records, pricing, agreements, and documentation.
- Compile technology and vendor spending across K-12 Individual Programs and Group Performing Arts, and provide cost estimates and forecasts to Finance for budget planning.
- Coordinate vendor setup, invoices, and payment requests with Finance; monitor spending against budget and flag potential overages to leadership.
- Find cost savings, including rental-versus-purchase decisions and resale or consignment of outdated equipment.
- Act as the operational link between Product Delivery and IT on event technology needs, and share regular updates on deployment readiness, procurement status, vendor issues, and budget.
- Document procedures, vendor requirements, and timelines, and continuously improve how technology is sourced, allocated, and tracked.
Qualifications
- 2–4 years of experience in operations, event logistics, vendor management, procurement, technology coordination, or a related field (preferred).
- Experience coordinating multiple vendors, projects, or operational timelines at the same time.
- Strong organizational skills and a proven ability to manage detailed schedules, documentation, and deadlines.
- Working knowledge of vendor sourcing, purchasing, invoice coordination, and basic financial tracking.
- Advanced Excel; experience with Smartsheet or a similar project management platform is a plus.
- Strong written and verbal English, used daily with U.S.-based teams and vendors. Spanish is a plus.
- Problem-solver who identifies risks early, escalates clearly, and recommends practical solutions.
- Able to work independently and manage relationships with U.S.-based stakeholders remotely.
- Experience with event technology, equipment rentals, or large-scale event operations is a plus.
- Bachelor's degree in Business Administration, Operations, Event Management, Supply Chain Management, or a related field preferred; equivalent experience considered.
- Available during U.S. Eastern Time business hours, Monday to Friday, with flexibility during time-sensitive deployments and peak season.
Work Perks
- Fun & driven environment.
- Excellent medical, dental, and vision coverage, life, accidental death and dismemberment, accident, critical illness, and disability insurance.
- +10% of gross salary as food stamps.
- 1 paid volunteer day & 25 PTO* days to start – accrue up to 28 over 3 years, 4 mental health days, and 5 bereavement days.
- Statutory Holidays by Mexican Federal Labor Law.
