We are a Firm where people truly believe in what they do and strive to achieve the highest standards of performance and success.
This position may be based in either the firm’s global operations center in the Tampa Bay area or our Dallas office.
General Description:
The Knowledge Transformation Manager is responsible for the organization, quality, and ongoing maintenance of the firm's Knowledge Bank and related knowledge assets. The role leads the development of taxonomies, metadata standards, and content structures that allow attorneys to efficiently locate, evaluate, and reuse the firm's most valuable precedents, forms, model documents, and practice resources.
Working closely with attorneys, practice groups, and Knowledge Management colleagues, the Manager leads the identification, collection, and curation of high-value content and serves as the steward of the Knowledge Bank. To ensure curated content is readily accessible, the role applies practical experience with enterprise and/or semantic search to understand how metadata, content structure, and indexing influence search results; analyze search data to identify gaps; and collaborate with vendors and technology colleagues to ensure Knowledge Bank content surfaces reliably in search and AI-enabled tools.
Key Responsibilities and Essential Job Functions:
Knowledge Bank Management and Content Curation
- Manage the ongoing organization, maintenance, and quality of Knowledge Bank content, including precedents, forms, model documents, checklists, and practice guides.
- Serve as the Knowledge Management team's primary subject matter expert for the Knowledge Bank platform, iManage Work, Insight+, and associated technologies.
- Develop and oversee content lifecycle processes, including review, curation, update, archiving, and retirement of outdated material.
- Establish and implement quality assurance processes that ensure the accuracy, consistency, and usability of Knowledge Bank content.
- Maintain documentation, standards, and best practices for knowledge capture and organization that support the long-term sustainability of knowledge resources.
- Partner with Information Technology and vendors to implement enhancements that improve content management, discoverability, and reuse.
Attorney Engagement and Knowledge Collection
- Partner directly with attorneys and practice groups to identify, collect, and curate high-value precedents, forms, model documents, and other knowledge assets for inclusion in the Knowledge Bank.
- Conduct outreach to content owners and subject matter experts to obtain new materials and keep existing content accurate, current, and relevant.
- Drive attorney engagement with the Knowledge Bank by promoting content contribution, participation in review initiatives, and best practices for accessing relevant knowledge.
- Deliver training, guidance, and search tips that help attorneys find and use Knowledge Bank content effectively.
Taxonomy, Metadata, and Knowledge Architecture
- Design, develop, and maintain general and practice-specific taxonomies, metadata standards, and classification frameworks for Knowledge Bank content.
- Partner with attorneys, practice groups, and the Knowledge Management team to define and refine taxonomies and metadata as practice needs evolve.
- Translate business and knowledge requirements into scalable content structures and metadata models that support both browsing and search.
- Align Knowledge Bank taxonomy and metadata with firmwide classification standards so content is consistently tagged across repositories.
Findability, Enterprise Search, and AI Retrieval
- Ensure Knowledge Bank content is structured, tagged, and indexed so that it surfaces reliably in iManage search, the firm's enterprise search platform, and AI-enabled tools.
- Partner with enterprise search administrators and Information Technology on content-source integration, indexing priorities, promoted results, and relevancy improvements for Knowledge Bank content.
- Analyze search analytics, including common queries, zero-result and abandoned searches, and usage patterns, to identify content gaps, metadata issues, and curation priorities.
- Prepare and maintain AI-ready knowledge assets by improving the quality, structure, and governance of content used in retrieval-augmented generation and other AI-enabled knowledge solutions.
- Monitor emerging trends in knowledge management, information architecture, enterprise and semantic search, and legal AI, and recommend opportunities to improve knowledge retrieval.
Metrics and Continuous Improvement
- Track and report on metrics related to content quality, discoverability, search effectiveness, and knowledge utilization.
- Use data and attorney feedback to identify power users, gaps, outdated content, and opportunities for improvement.
- Identify and evaluate new approaches to standardize and streamline knowledge organization and retrieval across repositories and systems.
- Expected to maintain a regular and predictable work schedule and full attention to and engagement in work activities on behalf of the firm during business hours unless otherwise approved or required by applicable law.
- Special projects and duties as assigned.
Key Capabilities:
- Demonstrated experience working within iManage Work and iManage Insight+ or similar legal knowledge management platforms.
- Experience developing and maintaining taxonomies, metadata structures, and content classification frameworks within document management and knowledge repository systems.
- Working knowledge of enterprise and/or AI-enhanced search, including how metadata, content structure, and indexing affect relevance and findability, and experience partnering with search or technology teams to improve results.
- Ability to analyze search analytics, usage metrics, and content data to identify trends, gaps, and opportunities for improvement.
- Experience leveraging AI-enabled tools to improve content organization, metadata quality, knowledge retrieval, or knowledge management workflows.
- Demonstrated ability to build credibility with attorneys and subject matter experts and drive participation in knowledge capture and Knowledge Bank adoption.
- Strong analytical, organizational, and problem-solving skills, with the ability to translate business requirements into practical, sustainable solutions.
